Job Description
Lead the implementation of the Supply Chain Documentation activities and operations to ensure documents are safely stored and available in NAWAH Controlled Document Management System (NCDMS). Provide advice on Supply Chain Document Management Systems (DMS) to ensure efficient and effective management of SC documents.

Supply Chain (SC) Documentation

Responsibilities and Accountabilities:

Monitor the pre- and post-contract document management by reviewing and updating the information and performing document control, in coordination with Document Control and Record Management (DCRM) department to ensure alignment with the procedures.
Identify any missing information and initiate appropriate actions to locate the information.
Review the update of content in the DMS to ensure all relevant documents are available.
Lead the assignment of appropriate permissions and access rights to documentation (hardcopy and softcopy) to protect-corporate business sensitive information as per Enterprise Information Handling Procedure.
Coordinate with non-SC staff to ensure receipt of SC documents such as Low Value Purchase Orders.
Provide commercial documents such as blanket agreement, agreement with one-bid and etc. to support internal and external audits.
Review the SC Documentation to ensure relevant documents are efficiently processed, properly organized, safely stored, and made available when needed.
Lead the SC Documentation staff activities to ensure proper tracking, follow up and reporting on PSC documentation movement.
Review the registration, distribution and proper control of technical and commercial Bid submissions for Procurement to secure confidentiality and fair bidding
Lead the submission and retention of the Nawah Tender Committee (NTC) documentation including regular reporting on the committee’s performance to secure confidentiality and fair bidding.

Decision-Making Bodies Related Documentation

Responsibilities and Accountabilities:

Lead the receipt, upload and distribution of documents related to Tender Board, Program Governance Committee (PGC) and Executive Committee (EC) as applicable to provide with correct information in a timely manner.
Report on performance of decision-making bodies to support Management efficiency.

Performance Improvement

Responsibilities and Accountabilities:

Develop, as and when required, complementary processes to reflect Prime Contractor and SC requirements related to documentation control.
Develop control mechanisms to ensure SC integrity of information ensuring that all documents are procedurally compliant and meet all Nawah pre-defined quality standards.
Develop and maintain related Management System procedures and reference documents to comply with relative procedures.
Use performance metrics to identify areas of performance improvements related to SC’s document management, and implement improvements.

Follow all relevant Security policies, processes, procedures and instructions to ensure security compliance in all aspects of work, by applying them on self, others and Corporate assets.
Ensure compliance with corporate requirements for adherence to policies, procedures and instructions related to Crisis Management and Business Continuity in order to continue mission-critical activities.

Bachelor’s degree in Science or relevant field.
