Job Description

The Estate manager supervises and manage the day-to-day operations of a private estate in Kailua-Kona. They oversee all maintenance and repairs to the estate grounds and buildings. The Estate Manager is responsible for the coordination and oversight of maintenance, housekeeping, and landscaping. This position is also responsible for coordinating projects, events, and owner visits. They are also responsible for managing estates’ budgets.PHYSICAL DEMANDS/WORKING CONDITIONSMust be able to stand, lift, walk, bending, and twist for long periods of time and walk on uneven groundRequires physical agility and dexterityRequires physical strength and stamina to work extended periodsThis position works primarily in an inside and outside environment in sometimes inclement weatherAbility to lift at least 40 poundsMust be able to drive a vehicleMust be able to work weekends and nights as necessaryTravel required (road and air transportation) < 10%SKILLS AND COMPETENCIESResponsible for overseeing routine maintenance, annual inspections and audits of all buildings, systems and grounds.Responsible for maintaining property, equipment, landscaping, and mechanical systems to ensure optimal performance and operational efficiency and safety.Partner with the Director of Operations to develop annual budgets.Hire, manage and supervise maintenance, housekeeping employees, chefs, other employees and contractors.Negotiate and manage contracts.Supervise contractors to ensure company policies and standards are being followed at all times.Inspect work to ensure scope of contract has been followed and completed.Purchase related supplies and equipment within budget parameters.Initiate and monitor work orders for maintenance and housekeeping staff.Troubleshoot any maintenance emergencies.Develop contingency plans as necessary in the case of power failures, HVAC equipment failures, or other unforeseen emergencies.Partner with the Director of Asset Management to develop and implement plans for any renovations, new construction and other new projects.Establish, maintain, and document preventative maintenance programs on all equipment.Operate estate vehicles and machinery in a safe and efficient manner.Ensure proper maintenance on all finished surfaces and fixtures (e.g. plumbing, electrical, HVAC, carpentry, painting, furniture).Oversight of maintenance and operation of mechanical and other systems to ensure optimum performance.Prepare the estate for Owner visits and cleaning up and preserving the estate after the Owner departs.Follow Up with any noted maintenance issues or Owner requests.Assist in planning and coordinating events and parties.Demonstrate positive leadership characteristics and a clearly articulated vision which inspires employees to meet the appropriate standard of service that is expected for the principal and guests.Train, coach and monitor the performance of the team to provide encouragement, recognition, and corrections needed.Conduct routine inspection of entire facility to ensure a consistent standard of cleanliness is maintained on the estate.Prepare periodic inventory of building contents.Create and oversee training and education programs for maintenance and housekeeping workers in safe work practices.Work with various teams to provide support, assistance and services.Demonstrate honesty, responsibility, integrity and fulfillment of commitment.Conduct projects and other duties assigned by the Director of Asset Manager, COO, and/or the Owner.MINIMUM QUALIFICATIONSEducation - Bachelor's degree in real estate, property management, business administration, or similar.Necessary ExperienceA minimum of 5 years experience in real estate, project management, or similar.Experience in property management including the coordination of housekeeping, maintenance, and renovations.Hierarchical management experienceComputer Skills - Strong ability with Microsoft Office Suite softwareBasic QualificationsDemonstrate honesty, responsibility, integrity and fulfillment of commitments.Great leadership and project management abilities.Excellent interpersonal and communication skills.Exceptional time management and multitasking abilities and effectively prioritize tasks.Solid verbal & written communication skills.Demonstrates high level of professionalism in reacting well under pressure.Strong level of attention to detail.Ability to work independently, as well as in a team environment.The ability to demonstrate adaptability and flexibility and to re-prioritize the workday to accommodate.Have a validated Driver’s License.Sound knowledge of groundskeeping management and operations.The ability to be on call, including evenings, weekends, and holidays.Hospitality experience with high-end guests is a plus.Job Type: Full-timePay: $130,000.00 - $150,000.00 per yearBenefits:401(k)Dental insuranceHealth insuranceLife insurancePaid time offParental leaveRelocation assistanceVision insuranceSchedule:HolidaysMonday to FridayOn callWeekend availabilityCOVID-19 considerations:The Estate Manager position is a guest-facing role which will require proof of COVID19 vaccination.Application Question(s):How many years of experience do you have in project management?How many years have you been a hierarchical manager?Education:Bachelor's (Required)Work Location: One location
