Job Description
POSITION SUMMARY:
Responsible for all accounts payable functions necessary to support the Finance and Accounting team of Wanzek Construction, Inc. and related companies.
ESSENTIAL JOB FUNCTIONS:
Understand SOX guidelines to ensure accurate controls and segregation of duties are in place to meet compliance
Monitor shared drive daily for packing slips and other signed and coded receiving documentation
Review invoices and statements received daily in the accounts payable email account
Scan, enter and route invoices and expense reports in Viewpoint according to authority matrix/department head direction
Obtain necessary approvals on all packing slips, invoices and other payment documents in accordance with SOX and internal approval matrix
Obtain W9 forms from vendors as needed
Communicate and maintain good relationships with vendors regarding past due balances
Monitor hold list and work with PM’s and other departments to resolve
Maintain an organized paper or electronic filing system
Reconcile vendor accounts
Prepare multiple states sales and use tax returns
Evaluate and recommend solutions for a more efficient and streamlined process in accounts payable
Upload documents and assist in maintaining content of the Accounting Standard Operating Procedures (SOPs)/Integrated Work Procedures (IWPs)
Assist other internal departments with accounts payable questions and payment information
Various other administrative duties as requested by team members
Analyze and import Comdata charges weekly
Establish and maintain a good working relationship with field employees
Scan invoices received via mail into Viewpoint
EDUCATION AND WORK EXPEREINCE REQUIREMENTS:
Associate degree or equivalent in Accounting or a Business-related area is required
B.S. in Accounting or a Business-related area is preferred
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Take reasonable care of your own and others’ health and safety and of those who may be affected by the day-to-day delivery of this role by taking personal responsibility for working toward Wanzek’s Zero Injury principles
Read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations
Write reports, business correspondence and procedure manuals
Effectively present information and respond to questions from groups of managers, clients, customers and the general public
Add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals
Compute rate, ratio and percent and draw and interpret bar graphs
Common sense understanding to carry out instructions furnished in written, oral or diagram form
Deal with problems involving several variables
