Accounts Payable/ReceptionistEssential Duties: Accounts Payable: Receive and review vendor invoiceCompare vendor invoices to received quantity and price per purchase order and work with purchaser to reconciling variancesReview invoices for taxability and apply use tax if neededEnter vendor invoices into to APAttach electronic copy of invoice to AP transaction in system.Download credit card activityMatch expense reports with credit card activity to ensure we have expense reports and receipts to cover all chargesAssign correct gl codesImport credit card transaction into systemMaintain vendor/subcontractor insurance certificatesSet up new vendors ensuring we have W9 and insurance certificate if applicable.Review Purchase Order Status report monthly, investigate and resolve issues with old, open POs.Administrative: Answer phonesGreat customers, employees and vendors as the enter the buildingAssist project managersOrder business cardsMaintain and order office suppliesMaintain phone systemOther duties as assignedSkills: Basic accounting knowledgeHighly organizedDetail orientedAbility to operate independentlyMotivated self-starterStrong inter-personal skills: comfortable working as part of the teamDemonstrated ability to work quickly and efficiently under deadline pressureProficient in the use of Excel, and common computer applications including Word, Outlook, Internet etc.View Point experience would be ideal but willing to trainOperate office machines such as 10-key calculator, fax, copier and multi-line phonesWorking Conditions: 40 hours per week during standard office hours. Standard office hours are between 7:00 am and 5:00 pm Monday – Friday.Small office setting.Classification: Full-time, Non-ExemptReports To: ControllerSupervisory Responsibilities: NoSalary/Wage: $20 to $23 per hour, depending on qualificationsExperience: Accounts payable experience preferredWork Location: 5916 E.
