Job Overview:
Processing accounts and incoming payments in compliance with financial policies and procedures. Performing day to day financial transactions, including verifying, classifying, and recording accounts payable data. Preparing bills, invoices and bank deposits.
Role and Responsibilities
Financial Returns:
Accounts Payable (Daily, Weekly): Routinely gather invoices (electronic and hard copy) and maintain a tracing system Manage company credit card, utility, and extraordinary bill payments in a timely manner. Organize invoices, payment requests, expense reports, and petty cash reimbursements by entity, and prioritize processing by due date. Code invoices based on company chart of accounts and post in Sage Accounting – open AP by entity in a timely manner. Provide Aging Reports (pre-check registers) to management at designated times for review and selection to pay. Process payments/cut checks based on weekly schedule or upon priority requests. Match checks with supporting invoices/documents and present batches to management for review and signature. Disburse authorized payments with any required stubs or supporting documents via postal service or internal distribution. Priority payments sometimes require tracking. Provide post-check registers and AP Aging reports via the shared network Stamp all support ‘PAID’ prior to filing. Maintain AP filing systems in an organized and timely manner. Field and respond to GM or MSC inquiries regarding Accounts Payable related topics. Review vendor statements and field incoming vendor inquiries to ensure that there are no outstanding payments. Ad hoc tasks and projects to be completed upon request.
Work with General Managers and night auditors to ensure all hotel accounts receivable and accounts payables are correct.
